    Manage government and healthcare contracts for Mohawk Group, Commercial Division including GSA Federal Contract, NJPA, NASPO, State Contracts, Vizient among other existing contracts. Build contract pricing for RFP’s and Contract Renewals based on past business and best strategy approach to cover Mohawk expenses including administrative fees, freight, use tax etc. Review RFP requirements and scope; distribute assignments to internal resources in order to receive accurate information; compile required documentation to ensure deadlines are met with Mohawk’s submission. Review specifications and evaluate products with Strategic Account Managers and Account Executives to narrow down product scope to ensure Mohawk’s submission is validated based on specification requirements.

    Responsibilities

    RFP/RFQ/RFI  50%

    • Build contract pricing for RFP’s and Contract Renewals based on past business and best strategy approach to cover Mohawk expenses including administrative fees, freight, use tax etc.
    • Review RFP requirements and scope; distribute assignments to internal resources in order to receive accurate information; compile required documentation to ensure deadlines are met with Mohawk’s submission.
    • Review specifications and evaluate products with Strategic Account Managers and Account Executives to narrow down product scope to ensure Mohawk’s submission is validated based on specification requirements.

    COORDINATE GOVERNMENT, GPO’S AND EDUCATION CONTRACTS  25%

    • Manage government and healthcare contracts for Mohawk Group, Commercial Division including GSA Federal Contract, NJPA, NASPO, State Contracts, Vizient among other existing contracts.
      • Collaborate with legal to reduce Mohawk’s risk and liability on contracts; confirm Mohawk’s position on arising issues brought forth throughout the duration of contracts; act as the liaison between end users and Legal
      • Communicate with procurement for any amendments, addendums, and extensions needed to continue business with cooperatives and government.
      • Work with internal departments including MohawkOne, Logistics, Financial, Sales, Rebates, Finance, Sustainability, and Marketing to complete any assigned tasks such as RFP’s, Sales Volume Reporting, and Supporting Documentation required from internal customers.
      • Intake and triage calls/emails from end users on product requests and questions regarding contracts; ensure their questions are answered and put them in contact with the appropriate parties within Mohawk to assist.
      • Review and facilitate any microsite requests for Strategic Accounts and details that will be uploaded for customer ease of use; coordinate with project managers in digital marketing to fulfill request and ensure accuracy.
      • Work directly with customer service on any questions they have regarding contracts as well as help work through any order issues that hinder shipments.
      • Update end users with COI’s and yearly documents that expire.
      • Create documentation to support the Business Development Team including Price Increase Letters with industry details, letters of authorization for use of Mohawk Group Contracts, Teaming Agreements, and Letters of Supply for GSA.
      • Create Purchasing Agreements and terms and conditions for MVP Accounts for Mohawk Group.
      • Ensure all parties are aware of any changes made to terms and conditions on existing contracts to include Turnkey, Rebates, Sales, and Strategic Account Managers.
      • Manage dealer contracts for the use of Mohawk Contracts and ensure dealers are vetted to reduce Mohawk Liability in allowing them to purchase off Mohawk Contracts

    REPORTING  25%

     

    • Create Annual Business Plans for Contracts, Create/Compile Subcontracting reports; create subcontracting plans for contract holders’ use for their mandatory records.
    • Assimilate contractually-required reporting or ad-hoc reporting or data to end users; audit figures received against the contract to alleviate red flags from state auditors.
    • Provide pricing files to pricing department once approved to upload against Strategic Account codes.
    • Compile data and attend audits from government entities including GSA Federal audit on PO’s and sales against the contract.
    • Review & assess Mohawk processes and contractual obligations with our contracts to see how we can better report, utilize and drive for accurate results to align with our Mohawk team along with our End Users.
    • Manage Top 20 Accounts for Strategic Account Managers and Sales Volumes as well as monthly, quarterly reports.
    • Train Strategic Account Managers and Account Executives on the use of existing contracts, products, and guidelines for how to best utilize the contracts as well as support them on any inquiries they have while trying to sell from Mohawk Group contracts.
    • Other duties as assigned.

    Qualifications

    *P*

    • College degree preferred plus 3 - 5 years customer service or sales support related experience. Or, equivalent combination of education and experience.
    • Basic Computer Skills: in word-processing and spreadsheet applications (MS Word, Excel, PowerPoint, AS400, Internet, and Electronic mail).
    • Must be able to work across multiple organizational entities within and outside department
    • General office experience required with exposure in a customer service environment preferred.
    • Knowledge of Company brands and products information required to perform the essential functions of the job.
    • Knowledge of commonly used concepts, practices and procedures related to department activities.
    • Knowledge of company’s functional structure to research and coordinate customer request.
